Summary
CHS Southwest Grain has an exciting opportunity to join our team as an Office Assistant at our Dickinson, ND location. In this role, you’ll play an important part in supporting daily office and operational activities for our petroleum business, with some agronomy support as needed. We’re looking for someone who is organized, customer-focused, and comfortable managing a variety of administrative tasks in a fast-paced environment. Responsibilities
Answer and transfer incoming phone calls, assist customers, and direct them to the appropriate personnel.
Receive, sort, and distribute incoming mail and assist with general office communication.
Process invoices, purchase orders, and related documentation accurately and in a timely manner.
Enter and maintain accurate information in Energy Force, Agris, Coupa, Neevo, and other business systems.
Assist with inventory management for petroleum, propane, fertilizer, bulk oil, refined fuels, and lubricants.
Track and help maintain propane and fuel tank inventory records.
Maintain and update various operational spreadsheets and reports.
Support drivers with refined fuels, lubricants, and propane needs, including paperwork, questions, and daily coordination.
Assist with daily petroleum operations and provide some agronomy support as needed.
Help order and maintain office supplies as needed.
Provide clear communication with customers, drivers, coworkers, and location personnel.
Manage multiple tasks and prioritize work to support daily operational needs and timelines.
Work with sensitive information and maintain a high level of confidentiality, accuracy, and integrity.
Maintain and promote a strong safety culture and follow all safety policies, procedures, and regulations. Identify and communicate workplace hazards and correct or seek assistance in correcting unsafe actions or conditions.
Perform other duties as needed or assigned.
Minimum Qualifications (required)
- 1+ years of experience in Office and Facilities Services
- 1+ years of experience in Administrative Support
- High School diploma or GED
Additional Qualifications
- Proficient in Microsoft Office suite
- Strong communication skills, both verbal and written
- Basic math skills
- Ability to work extended hours during peak seasons to meet business needs
- Ability to travel occasionally
- Farming background or agriculture/fertilizer experience, preferred
- Familiarity with accounting software, preferred
- Pre-employment screening is based on the job requirements and industry guidelines and may or may not be required for the position. CHS offers a competitive total rewards package. Compensation includes base wage and, depending upon position, may include other earnings such as bonus, incentives and commissions. Actual pay offered will vary based on multiple factors which may include, without limitation, experience, education, training, specialized skills and certifications, minimum wage/salary requirements under local law.
