Summary

The Building & Office Services Coordinator, Associate role is an entry level position responsible for a variety of tasks that support Building & Office Services operations. This includes but is not limited to mail/package sort & delivery, manual print & mail processes, phone operation, general housekeeping & maintenance, and working with a variety of office services equipment safely. This is a full-time, non-exempt position, working onsite Monday through Friday, 8:00am-4:30pm

Responsibilities

85% -Office Services
⦁    Mail Sorting and Delivery: Work with attention to detail and efficiency to sort and deliver mail/packages daily.
⦁    Office Services Operations: With supervision, complete tasks that support a variety of office services operations on time with high quality, including folding, collating, binding, cutting, and preparing packages for mail and shipping.
⦁    Equipment Usage: Use equipment such as bindery equipment, paper cutters, and label scanners proficiently.
⦁    Customer Interaction: Work with customers in a professional and courteous manner to ensure processes and procedures run smoothly. Identify and troubleshoot issues, working with leaders to resolve them promptly.
⦁    Data Entry and Documentation: Complete required data entry tasks and documentation, following communication processes leveraging a variety of tools and systems.
⦁    Phone Operator Support: Provide back-up support for the phone operator by answering incoming phone calls, greeting and assisting visitors, and directing patrons to appropriate personnel.
⦁    Safety Compliance: Maintain and promote a strong safety culture by following all safety policies, procedures, and regulations. Identify and communicate workplace hazards and correct or seek assistance in correcting unsafe actions or conditions.
    Additional Duties: Perform other duties as needed or assigned.

15% Building Services
⦁    Site Walks and Maintenance: Conduct daily site walks, perform minor maintenance duties, and create work order requests to support the upkeep of all office, meeting, and collaborative spaces.
⦁    Employee Experience: Assist with daily tasks and processes that enhance the employee experience, ensuring all spaces have appropriate supplies, meet cleanliness and organization standards, and support space moves.
⦁    Event Support: Assist the Building Maintenance team with event setup and cleanup.
Additional Duties: Assist the Building Maintenance team with other duties as assigned.

Minimum Qualifications (required)

⦁    High School diploma or GED
⦁    Must be 18 years or older
⦁    Knowledge of general administrative office support; previous customer service experience preferred
⦁    Proficient in Microsoft Office Suite (Word, Excel, Outlook) 
⦁    Ability to work independently and with others as needed
⦁    Ability to manage time, prioritize workload and meet deadlines
⦁    Strong communication skills, both verbal and written

  • Ability to work extended hours to meet business needs during periods of higher than expected volumes

Additional Qualifications

⦁    Motivated, self-starter who can successfully manage a variety of tasks 
⦁    Must be able and willing to work on your feet the majority of each shift
⦁    Must be able to lift, push, pull up to 50-75 pounds frequently throughout each shift
⦁    Must be customer service focused by maintaining a full understanding of company and services
⦁    Ability to prioritize work and meet strict customer deadlines

  • Able to work with sensitive material and maintain the highest level of confidentiality and integrity

CHS offers a competitive total rewards package. Compensation includes base wage and, depending upon position, may include other earnings such as bonus, incentives and commissions. Actual pay offered will vary based on multiple factors which may include, without limitation, experience, education, training, specialized skills and certifications, minimum wage/salary requirements under local law.
