Program Director - Records and Information Management (RIM)

Summary
The Principal Records and Information Management (RIM) Leader is an enterprise position within the Compliance and Integrity function and part of the overall Legal and Compliance team at CHS. This Position is responsible for developing, implementing and managing a comprehensive records management program for our global organization including strategies to ensure the integrity of the records and the metadata over the lifetime of the records and comply with Federal, State, and local regulations. The Expert RIM Manager will work closely and collaboratively with the Compliance & Legal, Information Security, Privacy, and Office Services teams on program creation, implementation and continuous improvement. The successful candidate will lead and integrate this program at CHS globally and will report to the Senior Director of Compliance & Integrity.
Responsibilities
Records Program
- In collaboration with the Sr. Director of Compliance & Integrity, develop, right-size and maintain the RIM program for CHS Inc. ensuring Federal, State, and local record retention guidelines are met and best practices are incorporated.
- Champion the RIM program by gaining buy-in and leading change efforts with the support of Information Security and Technology.
- Maintain and mature the CHS Records Policy and Schedule and RIM policies, procedures, and guidelines for the creation, retention, retrieval, and disposal of records and information.
- Incorporate legal and regulatory requirements and best practices related to records management, including privacy, data protection, and retention schedules as needed for the lifecycle of a record.
- Working closely with Information Security and Technology, provide expertise and oversight in the creation and maintenance of metadata and folder structure incorporated in electronic document management systems for CHS. Partner with IT to create and improve automated records filing process in various systems including, but not limited to, email and ERP systems.
- Collaborate with other departments to identify and manage information assets and ensure that they are properly stored, secured, and disposed of.
- Participate in audits for conformance to records management procedures and storage.
- Establish key metrics for program performance.
- Participate in the development of disaster recovery and business continuity plans as they relate to records.
Records Communication, Awareness and Employee Learning
- Educate employees on records management policies and procedures, including the on-boarding and orientation processes.
- Provide record management awareness and guidance to CHS employees as needed.
- Stay up-to-date with industry trends and best practices in records and information management.
Management and Leadership
- Records Management Lead for CHS Records Coordinators and provide them with resources, tools and training to effectively implement the Records Policy and Schedule.
- Network and support with appropriate business leaders.
High Integrity Culture
- Work closely with Sr. Director, Compliance & Integrity (C&I) and the broader C&I team to identify trends or other opportunities to develop best practices for the Records Program.
- Support Sr. Director Compliance and Integrity in the development of a monitoring and auditing program for prioritized records risks.
- Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices; participating in professional societies.
Minimum Qualifications (required)
- Bachelor's degree in related field.
- Minimum of 10 years of recent, relevant experience in a records program is required.
- 5 years of experience in developing/building and implementing a records management program including policies and procedures
- Knowledge of legal and regulatory requirement related to records management, including privacy, data protection, and retention schedules.
- Experience in managing an electronic records management system
- Strong project management skills and the ability to manage multiple projects simultaneously
- Experience in managing a team of professional – directly or indirectly
- Knowledge of industry trends and best practices in records and information management.
Additional Qualifications
- Masters degree in library science, information management, or a related field
- Experience building a global compliance program
- 3-5 years of supervisor experience preferred
- Strong technology background in implementing metadata driven electronic document management systems.
- Able to apply specialized technical skills as an independent worker with minimal supervision.
- Able to perform complex analytical tasks.
- Extensive knowledge of records management best practices for both electronic and hard copy records.
- Ability to prioritize, organize and demonstrate strong attention to detail.
- Effective public speaking skills and an ability to communicate in both verbal and written form with multiple stakeholders within and outside the company.
- Ability to influence and work effectively with cross-functional, matrixed teams and projects.
- Strong organizational awareness, sound judgment, strong business acumen and ability to make decisions with input from multiple stakeholders.
